# Meeting Assistant

> A bot that auto-joins your video calls to record and transcribe them.

## Overview

The **Meeting Assistant** is a virtual bot that joins your video calls to **record and transcribe** them, then files the transcript as a conversation. Configure it at **Settings → Meeting Assistant**. It joins meetings detected on your connected [calendars](/comms/calendar/overview), so connect a calendar (and a video account) first via [Connected Accounts](/integrations/connected-accounts).

## Turn it on

Toggle **Auto-record Meetings** to have the bot join meetings on your calendar automatically. Set the **Assistant Display Name** (what shows in the participant list, default "Custral AI Assistant"), and optionally limit it to specific **Calendars to Auto-Record** (leave empty for all connected calendars).

## Choose which meetings it joins

Under **Auto-record Filters**:

* **External Participants Only**: only meetings with people outside your organization.
* **Record Only If I Am Host**: only meetings you organize.
* **Trigger Keywords**: only record when the title or description contains these (empty = all).
* **Ignore Keywords**: never record meetings containing these.

**Media Settings** toggle **Capture Audio** and **Capture Video**. Save with **Save Preferences**. Transcription is always on.

## Troubleshooting

| Symptom                                      | Likely cause                                                              | What to check                                                                                 |
| -------------------------------------------- | ------------------------------------------------------------------------- | --------------------------------------------------------------------------------------------- |
| The bot didn't join a meeting                | The event had no detectable meeting link, or a filter excluded it         | Confirm the calendar event has a video link; check your host / external / keyword filters.    |
| It joined a meeting you didn't want recorded | Filters too broad                                                         | Add an **Ignore Keyword**, or restrict to **Record Only If I Am Host** or specific calendars. |
| A recording has no transcript                | Transcription can't be turned off, so a missing one is a processing issue | The recording is authoritative; the transcript may lag or fail.                               |

  When reporting an issue, include the **request id** shown in the error toast. It links the in-app error to the server
  logs.
