# My Account

> Manage your personal profile, security, connected accounts, notifications, and shortcuts.

## Overview

The **Settings** screen is your personal account control panel. It holds the details that belong to you as an individual user. Your name and profile, two-step authentication, linked Google account, notification preferences, and keyboard shortcuts: separate from organization-wide configuration. Reach it from the settings area of the app at `/settings`.

## How it works

The page is split into two tabs:

* **Account**: your identity and security. Personal information, your public profile (display name, username, meeting-window overrides, first day of week, and profile logo), connected accounts, and two-step authentication.
* **Client Settings**: preferences that follow your account across web, desktop, and mobile: notifications, hotkeys, the bug-report shortcut, and (on the desktop app) an About card.

Two-step authentication supports two independent methods that can be enabled together: an **authenticator app** (TOTP, scan a QR code or enter the secret manually) and **phone verification** over SMS. Notification toggles are saved to your account preferences, so disabling one suppresses that category everywhere you're signed in.

**Notification sounds** play a ring when a call comes in and a chime when a new conversation arrives. Each event has its own sound: choose one of the built-in presets (calls: Classic / Digital / Marimba; conversations: Chime / Ping / Pop) or upload your own audio file (mp3, wav, or ogg) under **Custom…**. Your sound choices are saved to your account and follow you across devices, while the **Play sounds on this device** switch is a per-device mute. Turn it off to silence Custral on one computer without changing your chosen sounds. Use the **▶** button beside each dropdown to hear a choice before saving.

**Active sessions** lists every device currently signed in to your account: the browser or app it's using, the IP address it connected from, and when it was last active. The device you're reading this on is marked **This device**. Revoking a session signs that device out immediately; it can sign back in with your password. Changing your password revokes every session automatically, so a password reset is enough to lock out anything you don't recognise.

## Using it

<Steps>
  <Step title="Open Settings">
    Go to `/settings`. The **Account** tab is selected by default.
  </Step>

  <Step title="Update your profile">
    Edit **Personal Information** (first and last name) and **Public Profile** (display name, username). Optionally set **Meeting Windows** to override your working hours (`HH:mm`, 24-hour) and pick a **First Day of Week**. Use **Edit Logo** to upload and crop a profile image. Each card has its own Save button.
  </Step>

  <Step title="Turn on two-step authentication">
    Under **Security & Authentication**, toggle **Authenticator App** to scan the QR code (or copy the secret) and verify a 6-digit code. Toggle **Phone Verification (SMS)** to register a phone number and confirm the texted code.
  </Step>

  <Step title="Review where you're signed in">
    Under **Active Sessions**, check the listed devices. Choose **Revoke** on anything you don't recognise, or **Sign out everywhere else** to clear every device except the one you're using.
  </Step>

  <Step title="Link a Google account">
    Under **Connected Accounts**, choose **Connect Google Account** and complete the Google consent flow. Linked accounts show an **Unlink** button.
  </Step>

  <Step title="Set notifications and hotkeys">
    Open the **Client Settings** tab. Allow browser notifications if prompted, then toggle **New emails** and **Task assignments**. Under **Notification sounds**, pick a preset (or upload a **Custom…** file) for incoming calls and new conversations, preview it with **▶**, and use **Play sounds on this device** to mute this computer if needed. Adjust the **Open Global Search** and **Open Custral AI** shortcuts (use `mod` for Cmd/Ctrl).
  </Step>
</Steps>

## Deleting your account

Deleting your account removes your ability to sign in and deletes your personal
user record. It is **permanent**. There is no undo and no recovery window.

There are three ways to start it, and which one you use depends only on whether
you can still sign in.

<Tabs>
  <Tab title="Web">
    Go to **Settings → Account** and choose **Delete account** at the bottom of
    the Security section. You'll see which workspaces you belong to before you
    confirm.
  </Tab>

  <Tab title="Mobile">
    Open **Settings → Account** in the iPhone or Android app and choose
    **Delete account**. Confirm in the sheet that appears.
  </Tab>

  <Tab title="Can't sign in">
    Go to [custral.com/request-deletion](https://custral.com/request-deletion),
    enter your email address, and we'll send you a confirmation link. Deletion
    runs when you click the button on that page, not when the email is opened,
    so a mail scanner can't trigger it on your behalf.
  </Tab>
</Tabs>

### What is and isn't deleted

| Deleted                                             | Kept                                                                 |
| --------------------------------------------------- | -------------------------------------------------------------------- |
| Your sign-in credentials and linked login providers | Workspace data you created: records, conversations, calls, documents |
| Your personal user record in each workspace | The workspaces themselves, and everyone else's access to them |
| Your active sessions on every device | A record that a deletion was requested and honoured |

<Warning>
  **Deleting your account is not the same as deleting a workspace.** Records,
  conversations, and calls belong to the workspace, not to you, and they stay
  with it so your teammates' history isn't torn up. If you want a whole workspace
  removed, contact [hello@custral.com](mailto:hello@custral.com).
</Warning>

### If you're the only admin

If you're the last remaining admin of a workspace, your account is still
deleted, but the request is flagged for a person to review, so someone can
decide what happens to that workspace's data rather than leaving it
unadministered. You'll get an email confirming the outcome either way.

<Note>
  For privacy reasons, the public request form gives the same response whether or
  not an address has an account, so it can't be used to find out who has one.
  If you don't receive the email, check the address you entered.

## Troubleshooting

| Symptom | Likely cause | What to check |
| -------------------------------------------- | ------------------------------------------------------------------------ | ------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Logo upload does nothing | No image selected, or the crop wasn't completed | Pick a file in the **Edit Logo** modal and adjust the crop before pressing **Save Logo** |
| Authenticator codes are rejected | Device clock drift, or the QR was scanned before saving | Re-run the toggle to generate a fresh secret; confirm your phone's time is set automatically |
| No SMS code arrives | Phone number entered in the wrong format | Re-enter in international format (e.g. `+1234567890`) and resend from the phone modal |
| "Browser notifications are blocked" message | Notifications were denied at the OS/browser level | Re-enable Custral in your browser's site settings; the in-app toggle can't override a browser block |
| Google account won't link | OAuth callback hit a different origin, or consent was cancelled | Retry **Connect Google Account**; ensure you complete the Google consent screen |
| Notification toggle has no effect | Preference saved but you're checking a different surface | Toggles apply per account across web, desktop, and mobile. Confirm you're signed in as the same user |
| No sound plays on a call or new conversation | Sounds are muted on this device, or the browser hasn't allowed audio yet | Turn on **Play sounds on this device**; some browsers only allow sound after you've interacted with the page, so click anywhere in the app first |
| An uploaded custom sound doesn't play | The file didn't finish uploading, or isn't a supported audio type | Re-upload an mp3/wav/ogg under **Custom…**; the sound choice is stored on your account, so a fresh device fetches it on next load, preview it with **▶** to confirm |
| A session shows "No IP recorded" | The session predates IP capture (July 2026) | Expected for older sign-ins. No usable address was stored for them. Revoke anything you don't recognise; new sign-ins record the IP they connect from |
| A session you revoked is still listed | The list hasn't refreshed, or that device signed back in | Reload the page. If it reappears with a recent activity time, someone signed in again. Change your password, which revokes every session |
| More sessions than devices you own | Each sign-in creates a session, so one device can hold several over time | Harmless, but use **Sign out everywhere else** to clear the backlog |
| Your own device shows an unfamiliar name | The label comes from the browser/app user agent | A browser update or a different browser on the same machine reads as a separate session |

<Note>
  When reporting an issue, include the request id shown in the error toast.
  It links the in-app error to the server logs. The **Report a bug** button on
  the Client Settings tab attaches your recent in-app logs automatically.
