Overview
Some changes are too big to make one click at a time: moving a team’s pages into a new section, adding a stage to your flywheel, or deciding who can see what. Changes lets you stage them as a draft first. A draft shows your workspace the way the app will look after the change, with everything that differs from today marked. Nothing in your workspace changes until you apply it. Go to Settings → Data → Changes. Only workspace admins can open drafts.Start a draft
Click Start a draft. The draft starts as a copy of your workspace today. Stella can start one for you too. When you ask for a big change in the chat, her proposal card has an Open as a draft button.Edit the draft
The draft looks like the app: the sidebar on the left, the selected page in the middle, and an edit panel on the right.- Pages: click a page to open it, and drag it by its grip to reorder it or move it to another section. Use ⋯ to rename, hide or remove a page, and Add a page to add one.
- The edit panel: change a page’s name and section, its views, the columns its table shows, and which teams can see it.
- What changes: a change draft opens on a summary of what it does: counts, then each change, with Open to go to it, and anything Apply leaves out. Browse the workspace shows the whole draft. View in the top bar compares with today’s workspace or shows it as one team sees it.
- Objects: what the workspace tracks. Each object shows which pages list it and how many fields it has; its fields are listed in order, marked new, changed, private or read-only. Click an object to rename it, see what it links to, or open one of its records. Click a field to rename it, set the type of a new field, edit a select’s options, make it required, or choose who can see it. A field that exists today keeps its type.
- Record pages: click any row to open that record’s page. In Edit mode, pick a layout (Company, Deal, Support ticket and more) or keep the current one, and add, rename or remove tabs. Click a block to change it: on a details block, choose which fields show and in what order. Drag a block to move it, drag its corner to resize it, or use + Add block. Who can see a field is set in Teams & access. Related lists always show every related record. The change applies to every record of that object, and Undo puts the old layout back.
- Workflows: the Workflows tab lists the forms, workflows and sequences, each as a sentence: when this happens, these steps. New ones can be switched off, and are then not created. One that needs something the draft doesn’t have says what and stays off; switch a form off and the workflow it starts goes off with it. Workflows already running are shown as they are; a change never edits them. Ask Stella to draft one (“when a deal is won, make a task to book the handover”) and it appears here, switched on.
- Views: + Add view on a page makes a table or a board of its records, or an empty dashboard, with the name you give it.
- Ask Stella: describe a bigger change, such as “let Customer Success see Pipeline” or “add a Renewals team”. She edits the draft only.
What’s marked
Teams and access
The Teams & access tab shows your teams as cards, each with a name, a one-line description and its people. Drag a person to move them to another team. Use Add person to invite someone by email; they’re invited when the draft is applied. Click someone’s role to change it. The owner’s role never changes here. Below the cards, a grid shows what each team can do with each section, page and restricted field: Can edit, Can view or Hidden. A cell shows what that team’s members actually get, which includes anything everyone can see. Changed cells show the old level struck through. Use View as in the bar to see the sidebar the way a team will see it. On a draft of your live workspace, a strip under the bar lists what changes for that team.Workspace admins always see everything, whatever the grid says.
Try it in a test workspace
Try it in a test workspace builds the whole draft into a fresh sandbox with sample records, so you can use it in the real app first. Nobody is invited from a test. Each new test replaces the previous one.Apply
Review and apply lists every change: what’s added, what changes, who joins which team, access changes, and what’s removed. Anything the draft holds that can’t be applied (like changing a field’s type) is listed under Not included. If some people will lose access, or pages will be removed, tick the box to confirm. Removed pages are archived, not deleted. Their records stay.If someone changed the workspace meanwhile
If someone edits your workspace after you started the draft, the draft says so when you open it. Changes the draft doesn’t touch are kept automatically. Anything changed on both sides needs you to pick Today or Your draft. Changes to items that were removed since are dropped, and the draft lists them.Undo
Each applied change can be undone for 7 days from Settings → Data → Changes. Undo shows what it will put back before it does anything. Undo leaves a few things as they are:- New objects and fields the change added: they may already hold values.
- Invites that were already sent.
- Removed sections, objects, fields and views: restore them from the archive instead. Removed pages come back with their access.
